There are several tools/features you can use to download data and download metadata. Metadata refers to project set up characteristics, such as field attributes, events and form to event assignments, Automated Survey Invitations. All tools/features are well documented in REDCap itself.

User Permissions

  • Users need permission to download data.
  • Download permissions are managed on a form by form basis.

Tools/Features

  • Data Exports, Reports, and Stats
    • Find this tool/feature in your project's left hand navigation menu, in the Applications section.
    • For the following options data can be exported as raw, labeled, or for importing into one of the commonly used stats packags
      • Export all data.
      • Export data for one or more forms or for longitudinal projects, events
      • Export report data.
    • Other formats/options
      • Download a PDF of data collection instruments containing saved data (all records)
      • Download a REDCap XML file (containing metadata & data)
      • Extract all records into Tableau via the REDCap API
  • Download PDF of Instrument
    • Find this tool/feature in a drop-down button, when you open a instrument/form for an individual record.
    • Download the individual instrument/form with or without data.
    • Download all instruments/forms with or without data.
  • API Export 
    • Requires user permission for API and user requests API token.
    • User should have programing experience.
    • Programmatically export data.

For longitudinal data exports or exports of repeating form or event data, project teams should contact the Biostatistics, Epidemiology and Research Design program if they have questions about transforming long data format to wide data format.

  • Data Dictionary
    • Find in the Project Setup Tab, in the section, Design your data collection instruments & enable your surveys.
    • Export a specially formatted CSV file that contains all form fields grouped by form.
  • Individual Instruments/Forms
    • Find in the Online Designer, via the link in the left hand navigation menu or in the Project Setup Tab, in the section, Design your data collection instruments & enable your surveys.
    • Download a zip file via the Choose Action drop-down button.
    • Download a PDF file via the PDF icon.
  • Project XML
    • Find when you click in the Project Setup area, in the Other Functionality tab, in the section, Copy or Back Up the Project. 
    • Download a REDCap XML file of metadata
    • Download a REDCap XML file of metadata and data
  • Longitudinal Projects
    • Download the following additional Project Setup configurations:
    • Via the Project Setup Tab > Define your events and designate instruments for them:
      • Download events via the drop-down button, Upload or download events/arms
      • Download form to event mappings via the drop-down button, Upload or download instrument mappings .
  • Survey Projects using Automated Invitations
    • Download Automated Survey Invitation configurations via the Project Setup Tab > Design your data collection instruments & enable your surveys > Online Designer  > Auto Invitations options drop-down button.
